This guide details on how to create an Image Gallery in SharePoint.
If you have many high-resolution images that you need to use or share in your course, consider hosting them on SharePoint instead of uploading them on Quercus. This approach will help save the storage space allocated in Quercus and will provide a gallery view for the images. In this view, you can add a title, caption, and alt text to each image, improving accessibility and organization.
The Image Gallery on SharePoint can only be viewed and/or edited by users with a U of T Microsoft account. If you plan to share images with people outside of U of T, you will need to explore alternative methods for setting up the gallery that do not require a U of T Microsoft account.
Before you Begin
- Log in to your U of T Microsoft account.
- Access SharePoint:
- Select the app launcher in the upper left corner of the window
- Select SharePoint app

1. Access your SharePoint site
- Select My Sites icon on the left-hand side navigation panel
- Select your SharePoint site
If you do not have a SharePoint site yet, you can request one by submitting a form to the SharePoint team: SharePoint Online New Site Request.
2. Create a Page in the SharePoint site
Image Gallery can be added to a page in SharePoint. If you already have a page where you want to add the Image Gallery, you can skip ahead to Step 3: Add Image Gallery web part to the Page. However, if you prefer to have the Image Gallery on a new page, follow the steps below to see how to create a new page in SharePoint.
2.1. Create a SharePoint Page
- Select + New button
- Select Page
3. Add Image Gallery web part to the Page
- Select the + icon ("Add a new web part in column one")
- Select Image gallery web part (In the Text, media and content) section.
4. Set up the Image Gallery
4.1. Add images to Image Gallery
- Add a title for Image gallery (optional)
- Select +Add or Add images button to add images to the gallery.
- Select how you want to add your images. You will have options to upload images from your device, add existing images stored in your SharePoint site or OneDrive, search images on the Web or add images using a link.
- Select Add images button
4.2. Edit image details
You can add a title, caption, and alternative text for accessibility to each image.
4.2.1. Access image details settings
- Select the image you would like to add details to
- Select Pencil icon on the bottom right of the image
5. Publish the Image Gallery
5.1. Publish the Image Gallery
- Select Publish button on the top right to publish the page
6. Share the Image Gallery Page
6.1. Select Share option
- Select Share button to access the list with Share options
- Select one of the following options for sharing the link to the Page:
- Share page - this option lets you specify people or groups who will have permissions to view the page as well as remove permission for specific individuals or groups later if needed.
- Copy link to page - with this option you can simply copy the link to the page. It will inherit the permissions that are already set, however, you can change the permissions in the Settings (available with the 'Copy link to page' selection).
- Send to email - use this option to send an email with the access link to one or multiple individuals directly from SharePoint.
6.2. Set Page access permissions
In this guide, we demonstrate how to share Image Gallery using the Share page option.
- Select Settings icon to open the Page access permissions
- Select who you would like to share the link with
- Select the Can View/Edit icon to define whether you want to allow editing or viewing only
- Select Apply
Pages in SharePoint can only be shared with U of T Faculty, Students and Staff. They need to be signed in to their U of T Microsoft account to access the page you shared.
6.3. Copy link to the Page
- Select Copy link button
6.4. Distribute the link to viewers
There are multiple ways you can distribute the link to your gallery to the audience. Some of the options include:
- Sharing the link to the gallery on a Page, Discussion, Announcement, or Assignment in Quercus
- Sending the link to users via email or other electronic communication methods.
